Phoenix Deposit Import — Privacy Policy

This policy applies to Phoenix Deposit Import, an internal accounting tool operated by The Phoenix Brewing Company. It covers the integration rather than general use of the company’s public website.

Information processed

The tool processes spreadsheet deposit dates, sales amounts, accounts receivable amounts, processing fees, deposit totals, and processing status. It also accesses QuickBooks company information, account and customer identifiers, and deposit records needed to create and verify transactions.

The integration stores authorization tokens and company identifiers to maintain its QuickBooks connection. It does not ask users to provide their QuickBooks password to the tool.

How information is used

Information is used to prepare, create, verify, troubleshoot, and track accounting deposits, including helping prevent duplicate submissions. The tool does not sell information or use it for advertising.

Services and storage

Processing and storage use Google Sheets, Google Apps Script, and QuickBooks Online. Transaction details and diagnostic information may be retained in spreadsheets, script storage, execution logs, and QuickBooks. Google and Intuit process information under their respective terms and privacy policies.

Access and retention

Access is intended for authorized company personnel. Records are retained as needed for accounting, troubleshooting, duplicate prevention, and applicable recordkeeping obligations. Requests to review or delete integration records may be sent to the contact below; some accounting records may need to be retained.

Disconnecting

An authorized administrator can revoke access through QuickBooks Online’s connected-app controls. Revoking access stops future authorized API access but does not automatically delete existing spreadsheet records, logs, or QuickBooks transactions.
